Sick Advance
Employees can use the Self-Service module in LAPIS to request a sick leave advance. Sick leave advances may be requested in whole number increments from 8 to 80 hours.
How it works
To request a sick leave advance:
- Sign in to LAPIS.
- Go to the TIME tile.
- Select Sick Leave Advance, located on the left side of your screen.
- Enter amount of advance, ranging from 8 to 80 hours.
- Check the box agreeing to repayment and submit.
When using sick leave, accrued hours will be used and exhausted prior to use of the advanced leave. The advance is effective the Sunday prior to the election date and can be used as early as the week it is requested. Requested hours will be credited into the employee’s accrual balance but will not appear until the following payroll processing.
Repayment of the sick leave advance will be made by future accruals and will begin immediately. After repayment of the initial sick leave advance, a new request may be submitted in TIME. If repayment of the sick leave advance is not met at termination, the employee must agree to repay LLNS the outstanding balance, if any.
Eligibility
Employees eligible to accrue sick leave (excluding indeterminate time and employees in the Scholars Program) may be granted an advance of up to 80 hours of sick leave to cover their own illness or to care for an ill family member. A sick leave advance will only be granted to an employee who has less than 80 hours of sick leave accrued at the time of the request.
Vacation Advance
Employees (excluding indeterminate time and the Scholars Program) may request a vacation advance of up to 80 hours.
Advances on vacation time can be requested when employees do not have enough accrued vacation time for a specific upcoming need and meet the requirements below:
- Employees must have fewer than 80 hours of vacation to request an advance.
- If they have more than 80 hours of vacation but will fall short during their absence, they may not request a vacation advance.
- The amount of vacation leave advance, plus the employee’s vacation balance at the time of the request, cannot exceed 80 hours.
- The minimum amount requested must be at least one hour and cannot exceed 80 hours.
- Hours requested for vacation leave advance must be in whole number increments.
- All hours must be re-accrued before an employee can request another advance.
- The vacation absence (time away from work) has already been approved through the employee’s payroll supervisor and is reflected in LAPIS.
When using vacation leave, accrued vacation hours will be used and exhausted prior to the use of the advanced vacation leave. To request a vacation advance, sign in to LAPIS, and go to the “TIME” tile, select “Vacation Advance Request” located on the left side of your screen. Enter the amount of the advance ranging from one to 80 hours. Check the box agreeing to repayment* and submit.
* Note: Repayment of vacation advance (through future accruals) begins immediately after submitting the request. In order to calculate properly, it’s important to request the advance as close to when your vacation begins. Requesting the advance too early could result in inaccurately forecasted hours, and exceptions are not allowed. If repayment of vacation advance is not met at termination, the employee must agree to repay LLNS the outstanding balance, if any.
