Job Description

We have multiple openings for Hiring and Onboarding Administrators to coordinate internal and external hiring activities working in a dynamic and fast-paced environment. You will be a key member of the Laser Systems Engineering & Operations Division office administrative team strategically supporting workforce goals and coordinating hiring activities for our programmatic customer, the National Ignition Facility and Photon Sciences Directorate (NIF&PS). In addition to being well-organized and methodical, your strong organizational and communications skills will be needed to interact with a variety of people and a multidisciplinary team. These positions are in the Laser Systems Engineering and Operations (LSEO) Division within the Engineering Directorate.

In this role, you will

  • Coordinate and administer successful onboarding processes of new hires in partnership and collaboration with LSEO management, hiring managers, and human resources.
  • Represent LSEO in the administration and coordination of hiring, onboarding, and offboarding internal and external hires, scholars, and supplemental labor workforce personnel including the development of job listings, preparing hire packages, and verifying security clearances.
  • Collect data to establish and maintain hiring metrics and electronic recordkeeping documents to report recruitment and hiring activities, job applicant information, onboarding/offboarding, and to recommend hiring process support improvement strategies in collaboration with human resources.
  • Partner and collaborate with LSEO and NIF&PS administrative management, hiring managers, and human resources to support successful hiring and onboarding of new hires.
  • Assist in the development of and capture new and improved business and administrative practices for the division.
  • Interpret and follow human resources practices and polices to ensure compliance with standard procedures, regulations, and laws.
  • Coordinate special projects within, but not limited to, hiring and onboarding activities.
  • Serve as a resource through sharing skills and knowledge with others; may provide training and mentoring to others as needed.
  • Perform other duties as needed.

Qualifications

  • Ability to secure and maintain a U.S. DOE Q-level security clearance which requires U.S. citizenship
  • Basic knowledge and understanding of recruitment support processes, facilitating the coordination of hire packages, and of basic principles of personnel administration, policies, and procedures and of human resources compliance requirements.
  • Experience coordinating and prioritizing business and operational activities and assisting the development of administrative and operational practices in a fast-paced environment while following established processes.
  • Effective analytical, problem solving and decision-making skills necessary to resolve, recommend, and approve appropriate actions to implement solutions.
  • Strong written, interpersonal and communication skills with the ability to confidently handle confidential and sensitive hiring and personnel actions with tact, discretion, and mature judgment.
  • Ability to take the initiative to build productive business relationships with external contacts, and to effectively collaborate with management, an administrative team, human resources, and with a multidisciplinary workforce.
  • Effective organization skills with experience working under limited supervision, prioritizing multiple tasks, and meeting critical deadlines, while showing flexibility, attention to detail, discretion, tact, and accuracy.
  • Ability to work independently and make decisions with minimal guidance, and to work well within a multidisciplinary team.
  • Advanced computer skills and experience with Microsoft Office Suite, Outlook, Adobe Acrobat, automated business tools, and specialized proprietary applications. Experience creating and maintaining Excel comprehensive spreadsheets.

Qualifications We Desire

  • Experience with SmartRecruiters, CAT, LAPIS, EAM, and/or supplemental contract labor hiring in ARRS.
  • Working knowledge of Laboratory policies and procedures.

Security Clearance

LLNL is a Department of Energy (DOE) and National Nuclear Security Administration (NNSA) Laboratory.  Some positions will require a DOE L or Q clearance (please reference Security Clearance requirement above).  If you are selected and a clearance is required, we will initiate a Federal background investigation to determine if you meet eligibility requirements for access to classified information or matter.
