Pay Rate

$87,450 - $108,564 Annually for the A01.2 Level 

This is the lowest to highest salary we in good faith believe we would pay for this role at the time of this posting.  An employee’s position within the salary range will be based on several factors including, but not limited to, specific competencies, relevant education, qualifications, certifications, experience, skills, seniority, geographic location, performance, and business or organizational needs.

Job Description

We have an opening for an Administrator in Laboratory Infrastructure (LI).  You will provide high-level executive support to the Program Director and team responsible for the Cooling and Heating Asset Management Program (CHAMP). In addition, you will manage events and visits for the Laboratory Infrastructure organization. Laboratory Infrastructure provides institutional focus and fosters close partnership between the Director’s Office, Mission, Science Technology and Engineering (ST&E), and Operations & Business Principal Associate Directorates. This position is in the Strategic Deterrence (SD) Directorate and matrixed to the Laboratory Infrastructure organization, an organization within the Director’s Office (DO).

CHAMP is a key strategy to increase the National Nuclear Security Administration’s (NNSA) purchasing power to improve the condition of critical infrastructure systems that are common across the Department of Energy and the NNSA Complex. As the lead Management and Operator (M&O) Contractor responsible for CHAMP, LLNL is responsible for ensuring the overall successful implementation of CHAMP and providing technical direction, oversight, and subcontracting on behalf of the DOE/NNSA complex.

This position requires full-time on-site presence due to the nature of the work.

In this role, you will

  • Represent the LLNL CHAMP Program Director with correspondence, coordination, communication and dissemination of information.
  • Manage planning metrics and analytics in support of the strategic Program.
  • Lead and oversee a variety of cross-organizational and/or integrated projects.
  • Research, analyze, prepare, and assemble information and data from multiple and diverse sources; coordinate findings and other information with senior-level individuals, both internal and external to the Laboratory.
  • Lead planning, development and execution of a variety of workforce, operational and organizational requirements and activities for CHAMP and Laboratory Infrastructure.
  • Provide guidance, training, and mentoring to administrative personnel in all classifications. Conduct meetings to ensure timely communication of information and sharing of knowledge across Laboratory Infrastructure’s organization.
  • Manage all aspects of event, meeting, and conference planning, including contracts, budget, venue preparation, invitation lists, tours, equipment logistics, security support catering, room setup, audiovisual conferencing, branding and materials development, and registration website management.  Visits include senior level managers from the NNSA, Management & Operations (M&O) partners, and other corporate associations.
  • Oversee event client and user experiences from planning through post-event. Manage on-site preparations, production, and event breakdown. 
  • Provide a high level of support to the LLNL CHAMP Program Director and team as needed.
  • Review a variety of documentation for adherence to policy and to ensure consistency.
  • Track and act on program deliverables and milestones.
  • Lead the coordination and execution of program reviews, meetings, workshops, and conferences of a technical nature.
  • Develop and implement plans to promote culture, diversity, equity, and inclusion.
  • Perform other duties as assigned.

Qualifications

  • This position requires an active Department of Energy (DOE) Q-level clearance or active Top-Secret clearance issued by another U.S. government agency at the time of hire.
  • Experience representing management to diverse internal and external contacts, communicating management’s direction.
  • Experience leading and/or supervising employees and team building skills.  Ability to take initiative and build productive relationships.
  • Experience leading and overseeing a variety of cross-organizational and/or integrated projects, and experience researching, interpreting, and applying related policies and procedures, both internal and external to the Laboratory.
  • Experience independently coordinating and prioritizing high volume requests and multi-faceted internal processes under short, changing, and often conflicting deadlines with numerous and frequent interruptions.
  • Advanced problem-solving and decision-making skills to anticipate, identify, and independently recommend appropriate actions and solutions to complex administrative problems.
  • Ability to work independently with the aptitude to assume responsibility and make decisions with minimal guidance within a multidisciplinary team.
  • Advanced interpersonal, verbal, and written communication skills necessary to interact tactfully and effectively with all levels of personnel, internal and external to the Laboratory, and to explain, negotiate, persuade, and lead staff and management through conflict resolution to obtain consent and action on complex matters, achieving desirable outcomes.
  • Effective analytical, research, and problem-solving skills to independently and successfully anticipate, identify, and resolve unique problems.
  • Advanced knowledge of personal computers and associated software including expert use of MS Office (Word, Excel and PowerPoint) applications and collaborative software platforms such as MS Teams, OneDrive and SharePoint, with the ability to set up, manage and administer collaborative groups using such platforms.

Qualifications We Desire

  • Broad, institutional knowledge of the Laboratory and its programs and external organizations (i.e. Department of Energy (DOE) and National Nuclear Security Administration (NNSA)).
  • Broad, institutional knowledge and understanding of the Laboratory’s mission and organizational structure.
  • Broad, institutional knowledge and understanding of the Laboratory’s policies and procedures, including but not limited to, incoming/outgoing clearances, escorting, badging, catering, and tour requests.
  • Experience in a scientific or technical program which includes experience working in a classified environment.
  • Demonstrated leadership and commitment to diversity and fostering an inclusive and equitable organization.

Hearing aids without wireless capabilities or wireless that has been disabled are allowed in Limited Areas, Secure Space and Transit/Buffer Space within buildings.
