We have an opening for a Business Operations Specialist to work at the Joint Laboratory Office-Nevada (JLON) located in Nevada. The position will perform a full range of advanced, diverse, and sensitive administrative duties. The position will support the managers, Laboratory personnel, and visitors at the Nevada Support Facility (NSF), as well as the Nevada National Security Site (NNSS). This position is in the Weapons and Complex Integration (WCI) Principal Directorate.
In this role you will
Oversee daily administrative matters for managers within a complex computing environment, working work with JLON Management team, groups of scientists, engineers, and technicians across Lawrence Livermore National Laboratory (LLNL), Los Alamos National Laboratory (LANL), Mission Support and Test Services, LLC (MSTS), and National Nuclear Security Administration (NNSA).
Provide a high level of executive support to the JLON management team: Maintain multiple managers’ schedules and calendars in Outlook and SharePoint sites to include scheduling conference rooms, complex meetings, travel, preparing expense and financial reports, and maintaining office supplies and equipment.
Plan and execute a variety of workforce, operational, and organizational requirements, and activities for JLON.
Extract, compile, and utilize data to prepare organizational charts, tables, graphs, and PowerPoint presentations on behalf of management.
Compile, coordinate, proof, format, edit, and finalize a variety of documents and email messages frequently on own initiative that may be sensitive, including, but not limited to correspondence, itineraries, reports, presentations, complex forms, and budget spreadsheets.
Manage incoming and outgoing hard copy and electronic records and filing systems directly related to management policies, and general business operations, in compliance with organizational, company, and NNSA regulations, and handle, ship, and receive classified matter; serve as a Crypto User.
Perform other duties as assigned.
This position requires an active Department of Energy (DOE) Q-level clearance or active Top Secret clearance issued by another U.S. government agency at the time of hire.
Experience coordinating work activities and multi-faceted internal processes within functional area.
Experience participating in business, operational, and/or organizational activities.
Knowledge of industry practices with the ability to apply analytical and research skills and to resolve issues. Ability to develop reports for strategic decision making.
Advanced administrative skills, including highly accurate keyboarding, editing, and use of grammar and proofreading skills. Demonstrated competency with personal computers and associated software (MS Office: including Word, Excel, PowerPoint, and Outlook).
Advanced experience managing multiple senior level management calendars with conflicting priorities, determining, and communicating schedule changes throughout the day on own initiative.
Demonstrated advanced written and verbal communication skills with the ability to effectively explain, present, direct, negotiate, influence, and train others.
Demonstrated interpersonal skills to effectively interact and represent senior management with all levels of management, both internal and external to the Laboratory to handle sensitive and confidential issues with tact, discretion, and mature judgment. Ability to effectively work independently in a multidisciplinary team environment.
Advanced organizational skills, attention to detail, accuracy, flexibility, ability to prioritize multiple and complex tasks, and ability to work effectively in a demanding environment under time constraints to meet short deadlines with frequent interruptions. Experience working on organizational projects and ability to understand, interpret, and apply related policies and procedures.
BS Degree in Business, English, or related field.
Experience working with classified documents, and the ability to be qualified in Classified Matter Protection and Control (CMPC) and serve as a Classified Administrative Specialist (CAS). Knowledge of DOE/NNSA guidelines for classified document handling procedures and computer security procedures.
Knowledge and understanding of WCI and Laboratory’s policies and procedures.
