Job Description

We have an opening for an Administrator to work in a dynamic and fast-paced environment. You will work independently to plan, execute, and/or provide oversight to a variety of workforce, operational and organizational requirements and activities. This position is in the Weapons Simulation and Computing (WSC) Program within the Weapons and Complex Integration Directorate.

This position will be filled at either the A01.1 or A01.2 level based on knowledge and related experience as assessed by the hiring team.  Additional job responsibilities (outlined below) will be assigned if you are hired at the higher level.

 In this role you will

  • Plan and execute a variety of workforce, operational and organizational requirements and activities for the Weapons Simulation and Computing Program.
  • Provide a high level of executive support to the Program Director and other members of the management team.
  • Manage NR and Recognition &Awards Budget for program office.
  • Represent the Weapons Simulation and Computing Program on self-assessment, audit teams, or work-related committees and lead projects to assess, set and establish protocol and procedures for the work unit.
  • Collect, validate, interpret, business, operational and/or organizational planning data in support of strategic and/or workforce planning activities for the work unit.
  • Reviews a variety of documentation for adherence to policy and ensures consistency.
  • Oversee facility tours and power-wall demos, determine priorities, create, establish and implement improvements for procedures.
  • Manage consultants, invited guests and visits including senior level managers from NNSA, academia and corporate associations. Includes extensive interaction with VIP visitors, LLNL Protocol Office, and PAD Offices at LLNL.
  • Lead a team of non-exempt employees in the coordinating and executing classified program reviews, meetings, workshops and conferences of a technical nature.
  • Manage Foreign National computer usage, overseeing the internal process of the visitor tracking system.
  • Perform other duties as assigned.

Additional job responsibilities at the A01.2 Level

  • Lead the implementation of business, operational and/or organizational strategies, objectives, and deliverables and prepare responses for requests for information for the Weapons Simulation and Computing Program and the Program Director.
  • Prepare and review a variety of reports and documentation for adherence to policy, to ensure consistency, and advise management.

 

Qualifications

  • This position requires an active Department of Energy (DOE) Q-level clearance or active Top-Secret clearance issued by another U.S. government agency at the time of hire.
  • Lead experience with demonstrated effective leadership and teambuilding skills
  • Experience coordinating administrative and operational work activities and multi-faceted internal processes in functional area including managing various budgets.
  • Understanding of the basic principles of personnel administration, policies and procedures, and state and federal laws. Knowledge and understanding of HR compliance requirements for personnel administration (FLSA, ADA, EEO, etc.).
  • Administrative and organizational skills, including detail oriented, flexibility and experience independently coordinating and prioritizing multiple and complex work activities, often with conflicting deadlines.
  • Ability to work effectively with short deadlines and frequent interruptions.
  • Experience interacting with all levels of personnel exercising a high degree of discretion, mature judgment, and tact in handling issues of a sensitive nature and demonstrated effective verbal, written and interpersonal communication skills necessary to effectively explain, present, direct, and influence others.
  • Effective analytical skills with the ability to anticipate, identify, and resolve issues effectively.
  • Advanced knowledge of personal computers and associated software including MS Office applications and experience developing reports for use in management decision making.

Additional qualifications at the A01.2 Level

  • Experience representing management to diverse internal and external contacts, communicating manager’s direction.
  • Specialized and operational knowledge of industry practices with experience applying analytical and research skills; coordinating and executing program reviews, meetings, workshops or conferences.
  • Some supervisory experience with demonstrated leadership and team building skills to effectively build and manage an effective business and operations support team.

Security Clearance

LLNL is a Department of Energy (DOE) and National Nuclear Security Administration (NNSA) Laboratory.  Most positions will require a DOE L or Q clearance (please reference Security Clearance requirement).  If you are selected, we will initiate a Federal background investigation to determine if you meet eligibility requirements for access to classified information or matter.
